Getting Help After Go-Live

How do I get help with UT Works after go-live? 

To help ensure that everyone can use UT Works successfully after go-live, the program team and business units have worked together to create multiple ways to get support when needed.

Training

From now through go-live, training will be provided to everyone who will use UT Works. From Planner Schedulers to Technicians, Project Managers, Warehouse staff, Accounting, and beyond, classes are designed to teach participants how to use UT Works to complete their daily tasks. If you were not scheduled for training, please talk to your manager or supervisor.

The UT Works trainers are also creating supplemental training classes to assist those who feel they need a bit more instruction once they start using UT Works. These additional training opportunities are designed to help build skills and boost the confidence of those using UT Works. 

UT Works Document Repository

In addition to training, there are over 90 user guides available to assist everyone using UT Works. These reference materials provide instructions, troubleshooting tips, and best practices.

  • UT Works User Guides - used in the training classes, these documents provide step-by-step instructions on how to use UT Works to complete daily tasks
  • Business Process Workflows - provide a detailed overview of how departments will operate using UT Works

Change Champions and Change Leaders

At go-live, Change Champions and Change Leaders in each unit will be prepared to help their coworkers and team members transition to using UT Works. Change Champions will serve as the first point of contact if you need assistance using UT Works. Many of the Change Champions were selected because they are already known for answering questions and helping their coworkers. During the lead-up to go-live, Change Champions were provided the opportunity to attend multiple training classes to help them better understand how to use the system so they could in turn help others. Likewise, many managers and supervisors are participating in Change Leader Coaching to learn how to support and guide their teams during the transition to using UT Works to do their jobs. 

Business Leads and Subject Matter Experts

Representatives from each business unit involved in implementing UT Works participated in designing the UT Works system. Because of their involvement, this group has a high level of knowledge about how the system is supposed to work and be used in your department to complete tasks. That’s why they will act as the next level of support. When necessary, your Change Champions will reach out to these individuals for assistance if they are not able to answer a coworker’s question. 

As we approach go-live on November 5, leadership in each unit will communicate more details about the specific help channels available to their departments.
