Operations & Maintenance (O&M)

The O&M design confirmation process, which kicked off over the summer, continues this fall with the release of the P3 prototype. The P3 release is part of the iterative process of design confirmation, which involves hands-on exploration of system functionality and providing feedback to the project team by the design confirmation participants. The release of the P3 prototype also set the stage for the UT Works Program to begin the independent verification process.

To accomplish independent verification, the UT Works Program engaged Ensoft Consulting, Inc. to provide validation and feedback on the O&M design and process. Ensoft's involvement increases our confidence that the proposed UT Works system will meet the needs of the units involved in the program and the strategic goals of the University.

Capital Planning and Project Management (CPPM)

In October, after completing the design session and document review process, the UT Works Program kicked off CPPM design confirmation. The iterative process is structured around a set of weekly activities focused on a specific area of the system to allow design session participants and business leads to confirm agreement on design decisions and will enable them to share these decisions with their units and stakeholders.

Weekly design confirmation activities include demonstrations and hands-on exploration of the initial CPPM configuration by design session participants. Weekly office hours allow participants to ask questions and receive any assistance necessary to help them complete that week's activities. ​Each week ends with a meeting to discuss and finalize the design recommendation documents as a group.

The CPPM design confirmation process will continue through the end of December 2023, with final design recommendations occurring in January 2024.

ReADY (Request Forms)

Over the summer, the UT Works Program interviewed several people who currently submit, monitor, and manage building requests from across campus. These interviews allowed the ReADY implementation team to understand how campus uses the current WORQS submission process and to identify opportunities to improve the process for all involved. The information gathered in these interviews will inform the development of the initial prototype request form, which will then be used to create other service order request forms.

The team is currently conducting follow up with those organizations that receive the requests and schedule the work. Those who submit requests will have the opportunity to participate in follow-up interviews once the prototype is complete.
